We connect your marketing sources and your EHR, set up the real-time patient follow-up lists your team works from, and maintain every integration on an ongoing basis. Ongoing management reporting and analytics are included too. There’s nothing for your IT team to build or babysit.
Frequently Asked Questions
Which marketing sources can you connect?
Your website forms, paid search such as Google, social media such as Meta (Facebook and Instagram lead ads), and phone calls. Every patient lead arrives with its source and campaign, so you can see which marketing actually produces patients.
What are patient follow-up lists?
They’re real-time lists MilestoneMedical builds automatically from your live EHR schedule, so your team always knows exactly who to reach next: new patient leads nobody has reached, patients who canceled their initial visit and haven’t rebooked, and patients who completed a visit but have no next appointment. A patient comes off the list as soon as the follow-up is logged or the next appointment is booked.
Who maintains the integrations?
We do. When your EHR, Google or Meta changes its API, we handle the update. Keeping your integrations running is part of the service, not an extra project.
How long does it take to get started?
Onboarding typically takes 6 to 8 weeks, depending on your EHR and the number of marketing sources we connect.
How does pricing work?
A flat monthly fee per revenue-producing provider. That’s the entire pricing model.
A single provider can have up to three or four people supporting them — a contact center rep, a front-desk rep, an insurance coordinator, etc. Every member of the support team gets their own login. None of them count toward your bill.
You’re billed for providers, not seats. Add as many staff as your workflow needs — the price doesn’t move.
Is the MilestoneMedical service HIPAA compliant?
MilestoneMedical executes a Business Associate Agreement with customers, and is fully HIPAA compliant.
What if I don’t need all those functions?
Not a problem. Each function in MilestoneMedical is completely modular. Sometimes practices outsource functions such as authorizations, so we simply don’t activate the Insurance Team application, but every other function continues to work.
How does MilestoneMedical integrate with our EHR?
Two ways, depending on what your EHR supports.
If your EHR exposes an API (most modern ones do such as Athena, AdvancedMD, Kipu), we connect directly — data syncs continuously, no manual steps.
If it doesn’t, we ingest CSV exports from your EHR on a regular cadence. Same data, just batched.
Either way, every MilestoneMedical workflow runs off real EHR data.
